Why is it important to monitor the Booking Window in hotels?

Knowing the average Booking Window media allows hoteliers to better plan sales and marketing strategies, as well as optimize rates over time.

For example, a long Booking Window may indicate guests who are accustomed to booking well in advance, such as families or groups, whereas a very short window is often typical of business travelers or last-minute bookings.

Monitoring changes in the booking window over time is essential to identify shifts in customer behavior. A sudden shortening of the Booking Window may signal an increase in last-minute bookings or greater market uncertainty.

Additionally, comparing the current booking window with historical data helps calibrate pricing: if guests are booking much earlier than usual, the hotel may be underpriced and missing revenue opportunities. 

On the contrary, if bookings are arriving too late, there may not be enough time to fill the property.

How is the Booking window calculated in hotels?

The booking window is calculated by subtracting the reservation date from the arrival date.

Example:  if a guest books on May 1 for a stay on July 15, the Booking Window is 75 days.

To calculate the average booking window for a period, simply average all Booking Windows recorded during that period:

Average Booking Window = Sum of Booking Windows ÷ Number of Reservations

This metric can be analyzed by segment, sales channel, room type, or time of year.
